Privacy Policy

Forward Training Club Inc. (“Forward Training Club,” “FTC,” “we,” “us,” or “our”) respects your privacy and is committed to protecting personal information in accordance with applicable privacy laws, including British Columbia’s Personal Information Protection Act (“PIPA”) and, where applicable, the federal Personal Information Protection and Electronic Documents Act (“PIPEDA”).
This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit forwardtraining.club, request a consultation, communicate with us, or otherwise interact with Forward Training Club.
1. What this Policy covers
This Policy applies to information collected through our public website, consultation requests submitted through the website or through a Meta Instant Form on Facebook or Instagram, and related communications with prospective members.
If you become a Forward Training Club member, we may collect additional information in connection with assessments, exercise programming, scheduling, billing, and participation. Additional privacy information may be provided to members as part of the enrollment process.
2. Personal information we collect
When you request a consultation through our website or otherwise communicate with us directly, we may collect your name, email address, telephone number, preferred method of contact, preferred training frequency, information you provide during communications with us, and other information you choose to provide.
If you instead choose to request a consultation through a Meta Instant Form on Facebook or Instagram, we may receive your name, email address, telephone number, preferred training frequency, and any other information you deliberately provide through that form, if applicable. Meta may verify the telephone number you enter using a one-time SMS verification code before the form can be submitted; we do not receive that verification code.
When you submit a consultation request through our website, we also record information about how you arrived at the website, where available. This may include the referring page, the landing page, and campaign information included in the link you followed, such as UTM source, medium, campaign, content, or term values. This website-attribution information is not collected in connection with a consultation request submitted through a Meta Instant Form.
Our website infrastructure may also process technical information such as IP address, browser and device information, timestamps, requested pages, and similar information needed to deliver, secure, and operate the website.
Neither our website consultation form nor our Meta Instant Form is intended for medical records, urgent medical concerns, or detailed health information. Our Meta Instant Form does not request health information. Please do not submit sensitive medical information through the general website form, our Meta Instant Form, or ordinary email unless we specifically ask you to provide information through an appropriate method.
During a consultation, you may choose to discuss health information that is relevant to your interest in exercise or Forward Training Club. We will use that information only for appropriate purposes connected with your inquiry and our services.
3. Why we collect and use personal information
Whether a consultation request is submitted through our website or through a Meta Instant Form, we collect and use that information for purposes that a reasonable person would consider appropriate in the circumstances, including responding to the consultation request and inquiry; contacting you about the inquiry you submitted; arranging a consultation; discussing training options, frequency, pricing, availability, and next steps; assessing whether our services may be appropriate for your goals and circumstances; operating, securing, maintaining, and improving our website; understanding how prospective members find and use the website; maintaining appropriate administrative and business records; complying with legal requirements; and investigating or responding to privacy, security, legal, or operational concerns.
Submitting a consultation request, whether through our website or a Meta Instant Form, authorizes us to contact you for purposes related to that request.
We do not sell or rent personal information.
We will not use information collected for a consultation request for unrelated promotional email campaigns unless we have consent or another lawful basis to do so.
4. Consent
We obtain consent where required by law. Consent may be express or may be implied where appropriate based on the circumstances, the purpose of the collection, and the sensitivity of the information.
You may withdraw consent to certain uses of your personal information by contacting us, subject to legal or contractual restrictions and reasonable notice. Withdrawal of consent may affect our ability to respond to a request or provide a service.
5. How we disclose personal information
We may provide personal information to service providers that help us operate our website and business, including website hosting and server infrastructure providers, database providers, email-delivery providers, business email providers, analytics providers, security providers, and professional advisers.
These providers may process information on our behalf for the purposes for which we engage them.
If you submit a consultation request through a Meta Instant Form, that form is provided through Meta’s Facebook or Instagram platform. Information you enter into the form is processed through Meta’s systems and made available to us. Meta separately processes that information in accordance with its own terms and privacy practices, described in the Meta Privacy Policy, as described further in Section 8.
Separately, if you allow advertising measurement, Google acts as an advertising-measurement service provider that receives a conversion event when you successfully submit a consultation request, as described in Section 7.
We may also disclose personal information where required or permitted by law, including in response to lawful court, regulatory, or governmental requests, or where reasonably necessary to protect legal rights or the safety or security of individuals or systems.
6. Where information is processed
Our primary database for website consultation requests is hosted in Canada.
Some of our service providers may process or store personal information outside Canada, including in the United States. This may include the infrastructure that receives website requests, the service used to send our team notification emails, and our business email services.
As part of our current workflow, information contained in a consultation request may be included in an email notification sent to our team. This may include your name, email address, telephone number, contact preference, training-frequency preference, and information about how you arrived at our website.
When information is processed outside Canada, it may be subject to the laws of the jurisdiction in which it is processed and may be accessible to courts, law-enforcement authorities, or government authorities in accordance with those laws.
Our Supabase database was configured in Canada Central, and Supabase states that the selected project region determines where primary project data is stored. Resend states that personal information may be transferred to and processed in the United States.
If you allow advertising measurement, Google may also process measurement information outside Canada, including in the United States, in connection with the Google Ads conversion measurement described in Section 7.
Information you submit through a Meta Instant Form is processed through Meta’s systems and may be processed outside Canada as part of Meta’s global services, as described further in Section 8.
7. Website analytics, session storage, and advertising measurement
We use Vercel Web Analytics to understand how the website is used. Vercel Web Analytics does not use cookies and provides aggregated information such as page views, referring sites, general location, browser, operating system, and device information. Vercel identifies visitors using a temporary hash that resets daily and states that analytics data is not associated with identifiable individuals or stored IP addresses.
We also count certain website events, including clicks on consultation buttons and successful consultation submissions. These analytics events do not include the personal information entered into the consultation form.
During a browser session, our website uses session storage to temporarily remember how you arrived at the website, including the referring page, landing page, and campaign information contained in the link you followed. If you submit a consultation request during that session, this information is saved with your request.
Session storage is associated with the current browser tab or page session and is not used by us for cross-site behavioural advertising.
Our hosting provider may separately maintain standard technical logs for security, reliability, troubleshooting, and website operations.
We use Google Ads conversion measurement to help us understand whether advertising on Google leads to consultation requests. Google Ads measurement is optional: it is not loaded, and no related cookies or requests occur, until you affirmatively allow advertising measurement using the banner presented on our website or the “Cookie Settings” control described below.
If you allow advertising measurement, Google may use cookies or similar technologies, including first-party conversion cookies, and may process technical and advertising-interaction information needed to attribute a conversion to a prior ad interaction. When you successfully submit a consultation request, we send Google a conversion event confirming that a consultation request occurred. We do not send the name, email address, telephone number, or any other information you enter into the consultation form to Google for this purpose, and we have not enabled Google’s Enhanced Conversions feature.
Our implementation disables advertising personalization and remarketing signals. Google Ads measurement is not used to build advertising profiles about you or to show you personalized ads.
We also use a small piece of first-party local storage on your device to remember whether you have allowed or declined advertising measurement, so the banner does not need to reappear on every visit. This local storage does not contain personal information.
You may decline advertising measurement and continue to use the website normally. You may change your choice at any time using the “Cookie Settings” (also shown as “Privacy Choices”) control in the website footer.
8. Meta advertising and Instant Forms
Forward Training Club advertises on Facebook and Instagram.
Some of our ads allow a person to request a consultation directly through a Meta Instant Form, without first visiting forwardtraining.club. Submitting a Meta Instant Form is voluntary.
Meta processes the information entered into the form and provides the submitted lead information to us. Meta may also process information about a person’s use of Meta’s products and interactions with our advertising in accordance with Meta’s own privacy practices.
We use the information submitted through a Meta Instant Form for the consultation-related purposes described in this Policy.
Our Meta Instant Form does not ask for medical diagnoses, medical records, medications, or other detailed health information.
At present, we have not installed the Meta Pixel on forwardtraining.club and we do not use Meta Conversions API or Meta website-event tracking. We do not send information entered into our website consultation form to Meta for advertising measurement.
Meta’s own collection, use, retention, and processing of information on Facebook and Instagram is governed by Meta’s applicable terms and privacy policies, including the Meta Privacy Policy.
9. Safeguards
We use reasonable administrative, technical, and organizational safeguards appropriate to the nature and sensitivity of the personal information under our control.
These measures include restricting access to information based on business need, using reputable service providers, protecting administrative accounts and credentials, using encrypted network connections, and limiting direct public access to consultation records.
No internet transmission or electronic storage system can be guaranteed to be completely secure.
10. Retention
We retain personal information only for as long as reasonably necessary for the purposes for which it was collected and for applicable legal or legitimate business purposes.
If you request a consultation but do not become a member, we generally retain the consultation record for no longer than 12 months after our last substantive interaction with you, unless a longer period is required by law or reasonably necessary for a legal or business purpose.
Consultation information we receive from a Meta Instant Form — for example, if you request a consultation through Facebook or Instagram — is treated as a consultation record under the retention practices described above. This is separate from Meta’s own retention of information within its own systems, which is governed by Meta’s policies, not ours.
Where we use personal information to make a decision that directly affects you, we will retain the information for at least the period required by applicable law.
If you become a member, information required for membership, assessment, participation, administration, or legal purposes may be retained under separate retention practices applicable to member records.
When information is no longer reasonably required, we will securely delete, destroy, or de-identify it.
PIPA requires organizations to retain information used to make a decision directly affecting an individual for at least one year, while also requiring destruction or de-identification once the purpose and other legal or business reasons for retention no longer exist.
11. Access and correction
You may request access to personal information about you that is under our control and may request correction of information that you believe is inaccurate or incomplete.
Requests should be made in writing to our Privacy Officer.
We may need to verify your identity before responding. Certain information may be withheld where permitted or required by law.
We will respond to access requests within the time required by applicable law. Under PIPA, the ordinary response period is 30 days, subject to circumstances in which the time may lawfully be extended.
12. Privacy Officer and complaints
Forward Training Club has designated a Privacy Officer responsible for our compliance with applicable privacy requirements.

Questions, access or correction requests, and privacy concerns or complaints may be directed to the Privacy Officer.
We will review privacy concerns and make reasonable efforts to investigate and respond appropriately.
You may also have the right to raise a concern with the Office of the Information and Privacy Commissioner for British Columbia or another applicable privacy regulator.
PIPA specifically requires organizations to designate an individual responsible for compliance and make the position title and contact information publicly available.
13. Third-party websites
Our website may contain links to websites or services operated by third parties. Their privacy practices are governed by their own policies and are not controlled by Forward Training Club. This also applies to Meta’s Facebook and Instagram platforms, including Meta Instant Forms — see Section 8 for more information.
14. Changes to this Privacy Policy
We may update this Privacy Policy as our services, technology, or legal obligations change.
The current version will be posted at forwardtraining.club/privacy with its effective date.
